1. Purpose
This policy ensures that vehicles are properly inspected at pickup and return, reducing disputes between hosts and renters regarding vehicle condition.
Both parties are encouraged to document the vehicle condition using photos or video evidence.
2. Pickup Inspection Checklist
Before starting the rental, renters should inspect and photograph the vehicle, including:
Exterior
- Front and rear panels
- Mirrors
- Headlights and indicators
- Scratches or dents
Mechanical Check
- Brakes functioning
- Lights working
- Tyre condition
- Fuel level
Accessories
- Keys
- Phone mount
- Helmet (if provided)
- Delivery rack or storage box
Renters should immediately report any existing damage to the host through the platform messaging system.
3. Photo Documentation
At pickup, renters should take photos of:
- Front of vehicle
- Back of vehicle
- Both sides
- Dashboard / odometer
- Fuel level
These photos may be used to verify the vehicle condition if a dispute arises.
4. Return Inspection Checklist
When returning the vehicle:
- Park in the agreed location
- Take photos of the vehicle again
- Confirm fuel level
- Ensure keys and accessories are returned
Hosts should inspect the vehicle within 24 hours of return.
5. Damage Verification
If damage is discovered after a booking:
- The host must submit a damage report.
Supporting evidence must include:
- Before-trip photos
- After-trip photos
- Repair estimates
Ryder’s Xchange may review the evidence and determine responsibility.
6. Cleaning Requirements
Renters should return vehicles:
- Reasonably clean
- Free of excessive dirt
- Free of food spills or rubbish
Cleaning fees may apply if the vehicle requires excessive cleaning after a rental.
